GUIDELINES FOR PARTICIPANTS

Climate security festival is an event to be held on September 21-22, which brings together researchers from various fields, civil society actors, security experts, private businesses, artists, activists, and others interested in discussing the risks related to climate change in an open and equal space.  

The festival programme will be built around parallel workshop sessions, with the aim of strengthening and fostering cooperation between different sectors. In addition to the main event organized at the Finnish Meteorological Institute, the event also spreads to other parts of Helsinki through side events. 

Adapting to climate change is everyone's right, regardless of the resources they have. For this reason, the festival has free admission for all participants.

Each participant organizing a program for the festival is responsible for its own expenses. However, separate funding is needed to coordinate the festival organization and other costs.   • The festival's program is built around workshops, art performances and side events, with the aim of fostering cooperation between different actors. The entire festival and workshops are developed together with the participants in order to move beyond sector boundaries and to find new forms of cooperation. The festival is an open platform that you are welcome to join, and which is intentionally not fully defined in advance. 

    The final program will be decided according to the wishes of the participants by early September. Participation in the planning group is open to all interested parties. If you or your organization have suggestions for the themes or enthusiasm for running a workshop, please contact us by August 31. 

  • The workshops will be held under the Chatham House Rule to ensure an open debate. Each workshop includes at least two experts who provide information to the discussants, along with a facilitator and a scribe. It is strongly recommended to utilize participatory and artistic methods.  

    We kindly ask participants to observe the following rules:  

    • Concentrate and be present – refrain from using computers or phones during the workshop. 

    • Listen, assemble, and build something new – familiarize yourself with the principles of a good conversationalist (Timeout Foundation).  

    • Encourage equal discussion – participants primarily represent themselves, not their organizations.

    • The purpose of workshops is to offer perspectives on ongoing changes "over the horizon" and to focus on issues of future importance.

    • The workshops aim at generating concrete solutions, which can be implemented together with 1-2 actors from different sectors   

    The results of the workshops will be collected and presented on Friday, 22 September, at the end of the festival in the main hall, where participant organizations will be sought for commitment to take forward the given recommendations. 

  • We offer the opportunity to utilize the premises during the festival and showcase research or climate tools, models, and materials produced by your organization. Please note that the space is intended for presenting various non-commercial services, and we do not provide sales or promotional tables for commercial activities. 

    Kindly inform us during your event registration if you are interested in presenting a poster, distributing materials, or giving a speech. 

    The size of the posters displayed at the Climate Security Festival is either A1 (594 × 841mm) or A0 (841 × 1189mm). Posters will be on display throughout the entire event, and attendees will have the chance to explore them during breaks between sessions or designated presentation times. Poster presenters must be available during the poster presentation time on Friday, 22 September, in the afternoon. For more detailed scheduling information, please refer to the program. 

    Presenters are responsible for printing their own posters in the appropriate size and setting them up in the poster stand before the beginning of the festival on Wednesday, 20 September, 2023. The poster exhibition will be located in the lower level of Dynamicum, adjacent to the auditorium. 

    A digital version of the poster should be sent via email to elina.niinimaki@sadankomitea.fi by 15 September, 2023. The digital versions of the posters and other materials to be presented will be made available on the Climate Security Festival website. 

  • You are welcome to use Finnish or English during the event as you prefer. If needed, we encourage you to ask other participants for interpretation assistance. 

  • The Climate Security Festival will be held at the Finnish Meteorological Institute's Dynamicum main building (see location on Google Maps). The Finnish Meteorological Institute is located on Kumpulanmäki, adjacent to the Kumpula Campus of the University of Helsinki, at Erik Palménin aukio 1, 00560 Helsinki. 

    Kumpulanmäki is located alongside the busy Kustaa Vaasan tie, approximately 5 kilometers from the city center of Helsinki. The journey from Helsinki-Vantaa Airport takes around 45 minutes. We recommend using public transportation, biking, or walking to reach the venue, as parking spaces at Kumpulanmäki are very limited.

  • Festival participants have the option of self-paid meals during the event. 

    Within the premises of Dynamicum, there is a lunch restaurant called Tornado, and a café called Arktis, both open on weekdays from 8 AM to 2 PM. 

    The price for a vegetarian lunch is 8,80 euros and the participants will be offered afternoon coffee.

    We accept the most common payment methods, such as debit cards, credit cards, contactless payment, and mobile payment options with contactless functionality. We do not accept cash at the event. 

  • As a general rule, we do not cover participants' travel or accommodation expenses. However, for speakers and participants coming from outside the Helsinki area, we may consider providing travel reimbursements if needed.

    Please get in touch during the registration process if you require travel compensation. 

  • We strive to minimize the climate emissions and natural resource use generated by the event. For example, we only print and produce essential materials, recycle materials, and avoid food waste by ordering vegan catering only for registered participants.  To calculate the emissions produced, we use the Climate Calculator for Project Activities (Tradeka 2022) and gather information from participants regarding their travel and accommodation arrangements. 

    We will offset the climate emissions resulting from the event's organization to mitigate its environmental impact. 

  • The Climate Security Festival is an accessible and open event for everyone. We strive to communicate as clearly as possible and improve the accessibility of the festival.  

    The indoor facilities of the Finnish Meteorological Institute are wheelchair accessible, with entrances either being accessible or having a ramp. Access to the lower level of Dynamicum is available via an elevator, and there are designated accessible seats in the auditorium.  

  • We are committed to promoting principles of equality, environmental and social responsibility, justice, and safety. These values are reflected in the event production, recruitment, and program planning for the festival.

    We expect the event staff, performers, partners, and subcontractors to also adhere to these same values and principles. 

  • The idea of organizing the Climate Security Festival arose when the employees of the SaferClimate network and the peace organization Sadankomitea met in late 2022. Right from the start, it was clear that the Climate Security Festival should be an open platform where different stakeholders make decisions together.

    Therefore, the Committee of 100 in Finland and SaferClimate publish the festival under the Creative Commons CC BY-SA license. In order for humanity to adapt to climate change and biodiversity loss, all the activities implemented at the festival must also be released under the CC BY-SA license.
